2023 Annual General Meeting

Sunday 03.12.23 10:30-11:55: Attendees: 15 Members

 

The 1st item on the Agenda was to agree a new President as Mr Windsor Monks has stood down. It was agreed that Mr Eddie Barnacle would become the new President.

 

Meeting Notes:

  • The new President, Mr Eddie Barnacle, chaired the meeting

  • The minutes of last years AGM were read by the Secretary and accepted as a true reading

  • Mr Tony Hawkins (Secretary), Mr John Doherty (Captain), Mr Kenny Owen (Handicap Secretary) and Mr Dave Harris (Website) were re-elected as members of the Committee along with the President, Mr Eddie Barnacle

  • The balance in the bank is around £6,995.72 and the cash in hand is around £64.00. It was noted that the bank balance included approx. £4600 in blackout card contributions and approx. £2400 in members contributions for the Spain ’24 trip

  • Society membership fees for 2024 will remain at £45 due by 31/12/2023

  • Valid Coombe Club membership is required to be a member of the Golf Society

  • Handicaps will continue to use the system used during 2023

  • It was unanimously agreed that Mr Phil Cooke could join the Society

  • It was re-iterated that the cut-off to inform the Secretary if not playing in a Society game remains unchanged at 12 o’clock lunchtime on the Friday 8 days prior to the game

  • Proposed dates for the 2024 fixtures were shared by the Secretary and are: 24/02, 16/03, 06/04, 27/04, 18/05, 29/06, 13/07, 03/08, 24/08, 14/09, 12/10, 02/11 with the Spain trip being 12.06.24 - 18.06.24. Dates are subject to change depending on course availability. 29.06 his likely to be changed to 06.07. All still tbc.

  • It was proposed and agreed that the 03/08 fixture would be local as often this has reduced numbers due to holidays

  • Suggestions for new courses included Trent Locke and Nuneaton

  • Premium bond members (17) currently hold £155 each. The share held by the previous President Mr Windsor Monks will be purchased by Mr Darren Blincow

Spain Trip

  • The Secretary confirmed the courses which will be played

  • Currently 20 players and the Captain have committed to going on the trip

  • Monies are to be paid in full for the Spain trip by 29.02.24. 

  • The total amount payable is £850

  • The Secretary will see if coach transport to/from Birmingham airport on the days of the trip is possible 

  • It was proposed and agreed that in recognition of the Society funds generated through the blackout cards that the Captain’s Spain trip would be gratuitous

  • It is hoped, but not agreed, that members attending the Spain trip will be given a small spending money bonus ahead of the trip. 

Match Days and Coach

  • It was agreed that match day fees for the golfing element would increase to £45

  • It was agreed that food either before or after the game would only be included if it gave a preferential overall on-the-day green fee rate 

  • It was agreed that the coach fee would remain at £15 per game

  • It was agreed that a blackout card would be run on each Society game to generate additional income

  • The Secretary is to establish which players generally require buggies so that these can be reserved when initial bookings are made

Club Shirts

  • New shirts were presented and it was agreed that the new shirts would become the society shirts for 2024.

  • The Captain is to write to the Club to see if a contribution towards the cost of the new shirts can be made

  • Players not wearing a society shirt on game days would be levied with a £5 fine

  • It was agreed that any outstanding fines/debts must be cleared before players are allowed to play on Society games

2022 Annual General Meeting

Sunday 27.11.22 10:30-11:48, Attendees: 13 members

  • The President, Mr Windsor Monks chaired the meeting.

  • The minutes of last years AGM were read and accepted as a true reading.

  • All officer's were re-elected en bloc.

  • The balance at bank £4,052.94 and cash at hand £35.50.

  • Membership will remain at £45 and is due by 31st December.

  • Handicaps will return to the old system using buffer zones, any score over 36 will be penalised, poor game return maximum 1 point.

  • It was unanimously agreed that Mr Michael Spencer could join the society.

  • Rules:

    • It was reiterated that all players must mark there balls before play.

    • All balls must be putted out.

  • The cut off to inform The Secretary is now 12 o’clock noon on Friday 8 day's before game

  • Weekend away in 2023 will be in UK, but if anyone would like to go abroad the secretary will organise an additional trip.

  • A Christmas game to be organised for 30th December.

  • Anyone wishing to join premium bonds can by paying £155

  • There no other business the President closed the meeting.

2021 Annual General Meeting

Sunday 28.11.11 10:30-11:40, Attendees: 11 members

  • Minutes of last meeting, held on 24.11.19 were not read out but accepted as a true record.

  • Finances, £4757.73 was the bank balance.

  • Election of the committee, No changes from the previous year was proposed and accepted. However, Eddie Barnacle was elected as Vice Captain to join the committee.

  • Membership and fees. Two new members were proposed, Dave Mann and Steve Evatt, and accepted. The annual membership fee was ultimately agreed at being £45 Memberships need to be renewed by 31.12.21 at the latest to retain all accrued rights and privileges.

  • Handicaps will change to the World Handicap System, meaning the best 8 rounds from the last 20 rounds will be used to create a handicap for each player. This will then be applied against each course played to obtain a playing handicap.

  • Match formats, The first and last match of the season will be played as a Texas Scramble format, with all other dates being played as Championship, Medal, Secretary day or Captains Day.

  • Provisional dates, These exist, but the secretary is still working on this and will make a proposal at the later date when more information is available.

  • Local Rules, For the Society only days, the following rules were agreed, No Gimmes so must putt out, If a ball is lost on the course, you must have already played a provisional or NO SCORE is the only possibility on that hole. Pick and place through the course is now rescinded, with a 2 shot penalty applied for anyone caught cheating by touching their ball. Everyone must mark their ball on 2 sides, and declare their ball on the 1st tee, and after changing ball. (Vote: For 10, Against 0)

  • Coach, The coach will continue to be used throughout the season as needed, and will be charged at £15

  • Premium Bonds, currently have a value of £2425 shared between 16 signed up members. It was agreed that anyone leaving the society who is a member of the Premium Bond club must leave the Premium Bond club also, meaning either their share of the bonds are sold and refunded or the remainder of the society will buy them out with equal share input. Additionally, it was agreed that should any other Society members wishing to join the Premium Bond club, could do so only during the closed season, ie. after the last match of the season and before the first match of the new season, by paying an amount equal to the current individual share value for every current member.

  • Non attendance, Players are required to personally infirm the Match Secretary before 21:00 on the first 8 days prior to the match. Failure will incur full charges being applied.

  • The meeting was then closed.

2019 Annual General Meeting

The AGM took place at Coombe Social Club on Sunday, 24 November 2018 at 10:30 AM with 15 members in attendance.

- Minutes of last meeting, held on 02.12.18 were read and accepted as a true record.

- Finances, £15,751 was the income during the year, with £2220 + £121 cash remaining available at the end of the year. This includes £2125 raised via the sale of Blackout cards during the year.

- Election of the committee, No changes from the previous year was proposed and accepted.

- Membership and fees. No new members were proposed, and the annual membership fee was ultimately agreed at being £60 (Vote: 11 for, 3 against), which included a £15 increase to cover a shortfall identified in the finances from 2019. Memberships need to be renewed by 31.01.20 at the latest to retain all accrued rights and privileges.

- Handicaps will remain being assessed as per 2019, ie. against PAR, not SSS. The handicap secretary will perform an end of season review and publish everyones new handicap for 2020 in January 2020. A proposal to revert back to a Formula 1 style scoring was made, and it was agreed that a proposal should be issued to the group via WhatsApp, and a vote whether it is implemented or not will be made in January 2020.

- Match formats, The match v Millpool is planned for 29.02.20 at Kilworth Springs. The championship will be 6 from 8 matches, 1 Medal day, 1 Secretary’s day, plus team games at the start and end of the season. 

- Provisional dates, 29.02 (v Millpool), 07.03, 21.03, 18.04, 09.05, 23.05, 19-21.06 (w/e away), 04.07, 25.07, 15.08, 05.09, 26.09, 17.10 & 07.11 (Starkey’s day)

- Local Rules, For the Society only days, the following rules were agreed, No Gimmes so must putt out, If a ball is lost on the course, a new ball can be dropped for a 2 shot penalty in a location agreed by the entire group playing together. Pick and place through the course can be applied at the players discretion (Vote: 7 for, 6 against).

- Coach, The coach was used 6 times and cost £1890, however only £1500 was collected from players using the coach. It was agreed to keep the cost at £15 per person using the bus. The shortfall from 2019 was agreed to be captured through the membership fees (see above)

- Weekend Away, was agreed to be in Devon, with 2 courses held near the south coast and the final course in the Bristol area. More details will be released in January 2020.

- Christmas match, will be arranged during the holiday season, more information will be released nearer the date.

- Premium Bonds, currently have a value of £2400 shared between 16 signed up members. It was agreed that anyone leaving the society who is a member of the Premium Bond club must leave the club also, meaning either their share of the bonds are sold and refunded or the remainder of the society will buy them out with equal share input. 2018 Annual General Meeting

 

  • The AGM took place at Coombe Social Club on Sunday, 2 December 2018 at 10:45 AM.

  • The President, Mr Windsor Monks, chairing a meeting of 16 members.

  • The minutes of the previous AGM were read and accepted as a true reading, the chairman signed them.

  • The balance sheet for the year until 30th November 2018 was given to the members.

  • This showed a balance at the bank of £6522.16 and a cash in hand of £3.87.

  • After discussion it was agreed by the members that the committee would be re-elected en bloc.

  • Membership will remain at £45 per year and must be paid by 31st January 2019

  • Mr Adam Bloor who played 7 matches as a guest during 2018 season will join the Society for the 2019 season.

  • The treasurer asked members going to Spain to make up their account to the minimum of £300 by 31 January 2019 if they had not already done so.

  • The secretary was asked to keep the fixtures before the Spain trip as local as possible so that coach would not be required.

  • Transport will resume from July onwards. The cost of the coach will continue to be £15 per person.

  • It was agreed that the singles championship would continue to be the best 6 scores from 8 matches

  • A new Secretary's Cup will be introduced to take place at a course of the Secretary’s choosing.

  • It was also agreed to have a single’s stroke play match included in the fixtures.

  • The maximum handicap will remain at 28.

  • It was agreed that the society handicaps would continue to be based on the CONGU system but only the winner would receive a penalty. It was unanimously agreed to give the handicapped secretary more flexibility with individual handicaps based on performances.

  • The final singles game of the season will continue to be based on the table positions with the top four players going out first and so on.

  • The treasurer stated that he would create an itinerary for the Spain trip nearer the date and print a copy for everybody going.

  • There being no other business the chairman close the meeting at 11:31 AM

2017 Annual General Meeting

  • The AGM took place at Coombe Social Club on Sunday 26 November 2017 at 10:30 AM.

  • The president Mr Windsor Monks chairing a meeting of 15 members.

  • The minutes of the previous AGM will read and accepted as a true reading, the chairman then signed them.

  • The balance sheet for the year to 30th of November 2017 was given to the members.

  • This showed a balance at the bank of £3102.21 and cash in hand of £171.22.

  • After discussion it was agreed by the members that the committee would consist of the following people;

    • President, Mr Windsor Monks.

    • Captain, Mr John Doherty.

    • Handicap secretary, Mr Ken Owen.

    • Treasurer, Mr Tony Hawkins.

    • Website, Mr Dave Harris.

    • Fixture secretary, Mr Tony Hawkins.

  • Membership will remain at £45 per year and must be paid by the 17th December 2017.

  • Quotes will be sought from local coach companies for transport for next season.

  • The cost of the coach will continue to be £15.

  • It was also agreed that the single championship would continue to be the best six from eight scores and that more different formats would be introduced.

  • Members asked the Fixture Secretary to focus on the Bournemouth area for the weekend away.

  • The fixture secretary was asked to try to get earlier times then the previous year.

  • Maximum handicap to stay 28.

  • It was agreed that the society handicaps would continue to be based on the condu system. It was unanimously agreed that points return would be up to a maximum of the individuals buffer zone (0.4 being the maximum).

  • Mr Luke Hitchcox, who played six matches as against during the 2017 season will join the society commencing 2018 season.

  • The final singles game of the season will continue to be based on the table with the top for going out first and so on.

  • It was agreed that when playing team game, the current form (from the previous three games) would be used to pick teams, not the handicaps.

  • There being no other business the chairman close the meeting at 11:53 AM.

 

2016 Annual General Meeting

  • AGM took place at Coombe Social Club on Sunday 20th November at 10.30am.

  • The President, Mr Windsor Monks, chaired a meeting of 19 members

  • The minutes of the previous AGM were read and accepted as a true reading and the chairman signed them

  • The balance sheet for the year to 31st October 2016 was given to the members

  • This showed a balance at the bank of £1,211.39 and cash in hand of £61.22

  • After discussion it was agreed by the members that the Committee would consist of:

    • President: Mr Windsor Monks

    • Captain: Mr John Doherty

    • Handicap Secretary: Mr Kenny Owen

    • Treasurer: Mr Tony Hawkins

    • Fixture Secretary: Mr Tony Hawkins

    • Website: Mr Mark Walker

  • Membership will remain at £45 per year and must be paid by 15th December 2016

  • Maximum handicap to remain at 28

  • Members must play a minimum of six singles games during the season or their membership may be reviewed

  • All fixtures to be £40 to include the 2’s competition

  • Prize money will be as follows:

    • 1st place: £40

    • 2nd place: £20

    • 3rd place: £10

    • All nearest the pin and pin in 2 will be £10 each.

    • The hole in 2 (2’s) will only roll over once and then start from scratch

  • There will be 2 nearest the pin in 2

  • Quotes will be sought from local coach companies for transport next season and the coach will be used less

  • It was agreed that as Mr John Hewitt had not played this season due to injury that his membership would be carried forward

  • It was also agreed that the singles championship would be the best 7 (pls. note that under review this has been changed to 6) of 8 scores and that more different formats like team games would be introduced

  • Members asked the Fixture Secretary to focus on southern England for the weekend away

  • It was agreed that the Society handicaps would mirror the CONGU system meaning that the maximum handicap increase would be 0.1

  • Any player arriving late on the tee must catch-up with their team members and cannot score until they do so

  • From next season the Longest Drive will be paid for by those wishing to take part

  • In the event of a tie as in this year’s championship the next card will be used to identify the winner

  • The final singles game of the season will continue to be based on the table with the top four going out first and so on

  • There being no other business the chairman closed the meeting at 11:48

 

2015 Annual General Meeting

  • AGM took place at Coombe Social Club on Sunday 17th October at 10.00am.

  • The President Mr Windsor Monks chairing a meeting of 18 members.

  • The minutes of the previous AGM held on 07.12.14 - see below) were read and accepted as a true reading, the chairman signed them.

  • An interim overview of the finances (year ending 30th November) was given to the members.

  • After discussion it was agreed by the members that the committee would consist of the following people;

President: Mr Windsor Monks.

Captain: Mr John Doherty.

Handicap Secretary: Mr Dave Harris.

Treasurer: Mr Tony Hawkins.

Fixture Secretary: Mr Tony Hawkins.

  • Membership will be increased to £45 per year (from £40) to be paid by 30th November 2015.

  • Maximum handicap at 28 and the penalty points system to remain unaltered.

  • Members must play a minimum of six singles games during the season or their membership may be reviewed.

  • All fixtures will be £40 and will include the two's and longest drive competitions, with the prizes allocated as follows; Nearest the Pins and Pin in 2: £10 each, Longest drive: £10, 2's money based £1 per player playing with a max 1 roll over - if the prize is not won after 1 roll over, the funds remain within the society.

  • Prize money will remain as follows; 1st: £40, 2nd: £20, 3rd: £10

  • Quotes will be sought from local coach companies for transport for next season.

  • It was agreed that at some venues the coach would return to the club one hour after the last four ball finishes and that at others it would stop en route for a few drinks.

  • The final singles game of the season will continue to be based on the table with top four going out first and so on.

  • Premium Bonds Syndicate: The original thirteen members agreed to allow any others who wish to buy into the syndicate at a cost representative of the share value (currently £82 based on October 2015 value) to be paid before 30th November 2015. Subsequent opportunities to join will arise only between the last Society Aggregate match and 30th November of that year. If anyone wishes to leave the Syndicate at a later date they will be entitled to an equal share of the pot value at that time.

  • The fixture secretary asked members to let him have the five courses they would like to play again and also any suggestions for new venues.

  • The treasurer asked if more members could pay fees directly into the society bank account in the week before each fixture (Society Bank Details: HSBC, 40-18-59, 81458442)

  • It was suggested that the committee would meet monthly throughout the season and if members had any queries/problems to contact one of the committee so it could be raised and resolved.

  • There being no other business the chairman closed the meeting at 11.33am.

 

2014 Annual General Meeting

This years AGM was on Sunday 07 December 2014 at 11:00 and held at Coombe Social Club.

  • The president Mr Windsor Monks, chaired a meeting of 18 members, one prospective new member was presented but had no input into the meeting.

  • The accounts for the year to 30/11/2014 were read to the meeting by the treasurer and were unanimously accepted.

  • The committee were re-elected on-bloc and Mr Dave Harris was elected to join the committee.

  • Membership will continue at £40 per year and must be paid by 31/12/14. Late payment will be accepted if there is a space but you will become a new member and therefore lose any dividend entitlement.

  • Any prospective new members must play a minimum of three games as a guest the season before they apply for membership.

  • Any member who does not play a minimum of six games in any season must reapply to join the following year.

  • It was unanimously agreed that Mr Robert Waters and Mr Dave Haywood would not have their memberships renewed due to only playing three and two games respectively during the 2014 season. They are welcome to come as guests next season and to apply for membership in 2015 if they so desire.

  • It was unanimously agreed that due to injury in the 2014 season Mr John Hitchcox would not be required to pay for the 2015 season.

  • It was agreed that the Secretary would report the progress on the fixtures and the weekend away to the meeting to be called in January 2015. The dates previously announced will be used but are subject to minor changes if necessary.

  • The penalties awarded to players who come 1st (2 points), 2nd (1 point) and 3rd (0.5 points) will continue to be applied. It was agreed after discussion to make a change as to how these penalties are returned;

1st – 1.0 point per game played provided the player does not come in the top three in the next two games

2nd – 0.5 point per game played provided the player does not come in the top three in the next two games

3rd – 0.25 point per game played provided the player does not come in the top three in the next two games

  • Any player who finishes in the top three as above, will forfeit any points not already returned.

  • The maximum adjustment (increase) to any players handicap after the game will be limited to 0.5 points.

  • The secretary will try to keep the average cost of all venues at £35, if this is not possible and increase may be needed.

  • Once the fixtures are booked the secretary is to get three quotes from local coach companies and bring this to the next meeting.
